1. How to cancel
The lead traveler must send a clear cancellation request to info@saharanomads.com and include the booking reference. A cancellation takes effect when we receive it. We will acknowledge the request in writing.
2. Standard cancellation charges
Unless the customer's signed contract, written quotation or confirmation sets different booking-specific cancellation conditions, the following percentage of the total confirmed journey price is payable:
- more than 60 days before departure: 15%;
- 31 to 60 days before departure: 30%;
- 15 to 30 days before departure: 60%; and
- 14 days or fewer before departure, after departure, or for a no-show: 100%.
These percentages are our standard cancellation terms. They may be changed for an individual customer when different conditions are stated in that customer's signed contract, written quotation or confirmation. In that case, the booking-specific written conditions apply.
The cancellation charge is deducted from payments already made. If the traveler has paid less than the applicable charge, the remaining amount is due. If documented, non-recoverable permit, accommodation, transport or supplier costs exceed the standard charge, we may deduct those costs when they were disclosed before confirmation; the same cost will not be charged twice.
3. Refunds
Any refundable balance will be calculated after supplier recoveries and normally returned within 14 business days after the refund amount is confirmed. Refunds are normally made using the original payment method. Bank, payment-provider and currency-conversion charges are not refundable unless the refund is required because of our error.
4. Changes requested by the traveler
Requests to change dates, travelers, accommodation or itinerary depend on availability. We will try to assist, but supplier charges, fare differences and reasonable additional planning costs may apply. A material change can be treated as a cancellation and new booking when suppliers cannot transfer the original arrangements.
5. Late arrival, unused services and early departure
No refund is normally available for a no-show, late arrival, voluntary early departure or service the traveler chooses not to use. We will assist where reasonably possible, but additional transport, accommodation or rebooking costs are the traveler’s responsibility.
6. Cancellation or significant change by us
If we cancel a journey before departure for a reason within our control, the traveler may choose a reasonable alternative, credit or refund of amounts paid for the affected services.
If severe weather, governmental action, border closure, civil disturbance, epidemic, transport interruption, natural disaster, supplier emergency or another event beyond reasonable control prevents or materially affects the journey, we may offer a revised itinerary, postponement, credit or refund of amounts we hold or can reasonably recover from suppliers.
We are not responsible for consequential costs such as international flights, visas or separate accommodation that were not booked through us, except where mandatory law provides otherwise.
7. Minimum numbers and group changes
If a journey depends on a stated minimum number of travelers, that requirement will be disclosed before confirmation. When group size changes, the per-person price may be recalculated rather than the entire booking being cancelled.
8. Travel insurance
Travelers should obtain comprehensive insurance immediately after booking. The policy should cover cancellation, medical treatment, evacuation, missed departure, baggage and the planned desert, trekking, train or coastal activities.
9. Mandatory rights
Nothing in this policy limits a refund or other remedy that cannot lawfully be excluded. Where a customer's signed contract, written quotation or confirmation provides different cancellation terms, those booking-specific written terms will apply.
